The Love Club Bookshop is a proud Canadian, BIPOC- and women-led business specializing in special edition books and merchandise. Our team is made up of passionate book lovers who care deeply about romance stories, beautiful artwork, and creating editions readers truly love. We work closely with publishers, authors, and artists to bring one-of-a-kind projects to life.

About the Role

As our Creative Assistant, you’ll help oversee the visual side of our special edition projects. You’ll work closely with our Creative & Art Director, along with artists, authors, and publishers to coordinate artwork and manage timelines.

Your day-to-day will include helping prepare artist briefs, sourcing and booking illustrators, tracking deadlines, and making sure artwork is delivered on time. This role is ideal for someone who’s organized, detail-orientated, and excited to support the creative process behind the scenes.

Key Responsibilities

🎨 Artist Briefs & Creative Support

  • Prepare and format clear, detailed creative briefs for artists
  • Support the Creative & Art Director with artwork planning and coordination

🔎 Artist Scouting & Coordination

  • Research, source, and book illustrators and designers aligned with each project
  • Manage artist communication, timelines, and deliverables
  • Act as a key point of contact for artists

🗓️ Scheduling & Project Tracking

  • Track artwork schedules, deadlines, and capacity to keep projects on course
  • Update internal tools with timelines, delivery dates, and artist availability

📁 File & Asset Management

  • Organize and maintain digital artwork and design assets
  • Ensure files are clearly labelled, accessible, and production-ready

☑️ Artwork Review & Quality Checks

  • Review submitted artwork for quality, accuracy, and print readiness
  • Coordinate feedback, revisions, and approvals with artists and internal stakeholders

👥 Team Communication & Collaboration

  • Share progress updates with the team

Who We’re Looking For

  • Creative, detail-oriented, and highly organized, with the ability to juggle multiple projects
  • A clear communicator who’s comfortable working with artists and creative partners
  • Proactive and reliable, with a strong sense of follow-through
  • Able to take creative direction while thinking one step ahead
  • Genuinely interested in books, publishing, and special edition design

Skills and Experiences 

  • Experience with Adobe Creative Suite preferred (InDesign, Photoshop, Illustrator)
  • Strong visual eye and a good grasp of design fundamentals, including typography, layout, colour theory, and visual hierarchy
  • Experience assisting with or preparing artwork for print production
  • Familiarity with special finishes (foil, embossing, spot UV, etc.) or willingness to learn
  • Awareness of genre-specific design aesthetics and trends, especially romance
  • Previous experience in a creative studio, publishing environment, or adjacent creative role is an asset
